Description:

Telephone receptionist duties to include:
answering and handling all incoming calls; paging, forwarding
calls and taking messages as required; coordinating coverage
with night service and other facility Receptionists.

Facility management responsibilities: maintaining coffee
machines and ensuring coffee is available throughout the day;
ensuring appropriate kitchen supplies are in place at all times;
wipe down counters and tables in kitchen as required.

Office Manager tasks to include: ordering all office
and cleaning supplies; overseeing maintenance and operation
of front office fax, scanner, postage and copier machines.

Responsible for coordination of customer and guest visits.
Oversee and coordinate: travel, accommodations, meals, conference
room usage, visitor packets, transportation and announcement
on reception area monitor and outlook public folders.

Maintain outlook public folders with the whereabouts
of all employees. Monitor the comings and goings of staff within
the facility.

Provide travel support to include booking hotel accommodations,
airport transportation and rental cars; printing out itineraries.

Varied administrative and clerical responsibilities
to include making copies; creating and updating Excel spreadsheets
and Word documents; preparing and assembling mailings; support
of all departments and staff within the facility.

Act as liaison with Corporate HR, Payroll and Travel
Departments.
Essential
Skills:
- HS Diploma or equivalent. Some College
or secretarial school preferred.
- Prior experience with a switchboard or in a receptionist
role is ideal.
- Familiarity with MS Word and Excel.
- Multi-tasking capabilities with strong organizational skills.
- Strong oral communication skills.
- Must dress, appear and behave in a manner acceptable for a corporate front office reception area and role.
